Enquiry Follow-Up Email Templates That Convert
Most bookings are won on the follow-up, not the first reply. Here are proven email templates — and the timing — to convert more enquiries.
A single reply rarely lands the booking. People get busy, compare options, and forget. A short, friendly follow-up sequence recovers enquiries that would otherwise vanish — and it's one of the highest-return habits you can build. Here are templates you can copy and the timing that works.
1. The instant reply (Day 0)
Hi [Name], thanks so much for your enquiry about [event type] on [date] — that date is currently available! I'd love to be part of your day. I've attached a quick overview of what I offer and a quote. Happy to answer any questions — just hit reply. Best, [Your name]
Speed matters most here. Replying within minutes rather than days can be the difference between winning and losing the booking.
2. The gentle nudge (Day 2-3)
Hi [Name], just checking you received my quote for [date]? I'd hate for you to miss out as I do get other enquiries for popular dates. Any questions at all, I'm happy to help. Best, [Your name]
3. The value follow-up (Day 5-7)
Hi [Name], hope your planning is going well! I thought you might like to see a few photos/clips from recent [event type] performances: [link]. If you'd like to go ahead, I can hold [date] for you with a small deposit. Best, [Your name]
4. The final check-in (Day 10-14)
Hi [Name], I don't want to keep cluttering your inbox, so this is my last note for now. If [date] is still on your list, just let me know and I'll get everything sorted quickly. Either way, I wish you a wonderful event! Best, [Your name]
Keep follow-ups short, warm and helpful — never pushy. A light touch of scarcity ('popular dates book up') is fine when it's true.
Make it automatic
The reason most performers don't follow up consistently is that it's easy to forget when you're busy gigging. Automation solves this: set the sequence once and let it run for every new enquiry. The best part — when a client books, they're removed from the sequence automatically, so no one gets a 'still interested?' email after they've already paid.
PerformerDesk's visual automation builder lets you set up exactly this kind of follow-up sequence with smart triggers and automatic exit when a client converts.
Frequently asked questions
How many follow-up emails should I send?
Three to four touches over about two weeks works well: an instant reply, a nudge after a couple of days, a value-add follow-up, and a final check-in.
Won't following up annoy clients?
Not if they're short, friendly and helpful. Most people appreciate a polite reminder — and many bookings are won precisely because you followed up when competitors didn't.
Can I automate enquiry follow-ups?
Yes. With automation you set the sequence once and it runs for every enquiry, removing clients automatically the moment they book.
